KSD Calendar Help

 

The KSD Calendar provides parents, students, and staff an web-based view of District Calendars.  These calendars are maintained in Exchange/Outlook by School/Department Calendar Managers. The following instructions describe the features of the Calendar and how to use some of the advanced features (for Calendar Viewers) and how to enter Events (for Calendar Managers).

The KSD Calendar provides for viewing School and Department Calendars on the web.  To view a calendar for a specific period:

  1. Select the Calendar Name from the Calendar drop-down list.

  2. Select the Period (Month, Week, Day, etc) from the View drop-down list.

  3. Adjust the Date using the "<< PREV" or "NEXT >>" links or by changing the Month, Day, or Year drop-down lists.

  4. You can return to the Kent School District home page by clicking on either the District Logo (top of page).

 

There are six Views available.  These are:

  1. Month - shows Event Titles for the entire month in a standard calendar page view

  2. Week - shows Event Titles (and optionally, details) for Monday through Sunday for the selected week

  3. Work Week - shows Event Titles (and optionally, details) for Monday through Friday for the selected week

  4. Day - shows Event Titles, Locations, and Descriptions for the selected day.

  5. List (Month) - shows Event Titles, Locations, and Descriptions as a List for an entire month

  6. List (Week) - shows Event Titles, Locations, and Descriptions as a List for an entire week

Clicking on any Event will display a pop-up window that contains all details associated with the Event.

 

 

Some Calendars have Filters associated with them. 

  1. Filters are a mechanism for limiting Calendar output to those items selected by the Filters. 

  2. When Filters are associated with a Calendar, they will be displayed next to or below The Calendar and View drop-down lists. 

  3. Filter values are contained in drop-down lists. 

  4. The name of the Filter is the first entry in its drop-down list.

 

The below image shows the Sports Schedules Calendar (see above) with three of its four Filters selected.  Note that when the Filter Name is displayed in the drop-down list, this means that Filter is not active.

KSD Calendar Advanced Selection Back to top

  

In addition to being able to select a single Calendar and single value for each Filter (when Filters exist for a Calendar), the KSD Calendar allows you to merge Calendars into a singular, color-coded view that can contain multiple Calendars and/or multiple value selections for each Filter.

 

  1. Click on the '** Advanced Selection **' link (highlighted below).

The below "Advanced Selection Criteria" page will be displayed.  On this page you can:

  1. Select multiple Calendars to be viewed concurrently (merged into a single view).

  2. Select multiple values for each available Filter to create compound filtering criteria.

 

By holding down the "CTRL" key and clicking on more than one Calendar or Filter, you can select multiple items.  Detailed instructions for using this page are included on the page.

 

Note that many Calendars do not include Filters, so you'll only see Filters associated with those Calendars that actually have Filters.  Something you should remember when selection multiple Filters is:

  1. Selections within Filter are "Additive".  In other words, in the above example, if you select the Kentlake, Kentridge, and Kentwood values under the Campus Filter, you'll receive all Events associated with all three of those campuses.  Adding more campuses will show more Events.

  2. Selections between Filters are "Subtractive".  In other words, in the above example, if in addition to selecting the Kentlake, Kentridge, and Kentwood values under the Campus Filter, you select Football and Golf under the Activities Filter, you'll now only see Events associated with Football and Golf for Kentlake, Kentridge, and Kentwood.  Adding more Filters selections (values under additional Filters) will reduce the number of Events shown.

Below is an example of multiple Calendars being selected from the Advanced Selection page.  Each Event is color coded to identify the Calendar with which it is associated.

 

 

Finally, if you see a Calendar Name (in the drop-down list) that ends with a "(+)", for example:

High Schools (+)

These are predefined "Advanced Selections" that include one or more Calendars and any number of Filters (if Filters exist for any of the selected Calendars).

Calendar Managers

 

Add a Shared Calendar to Outlook Back to top

1.      Open Microsoft Outlook

2.      In the lower section of the left panel, click on the Calendar icon (or word Calendar) – this will display two small Calendars in the upper section of this panel.

 

 

3.      Click on the Open a Shared Calendar link in the middle of the left panel.

4.      Click on the Name… button in the Open a Shared Calendar popup window.

 

 

 

5.      Select your new Calendar (i.e. KW School Calendar) from the Select Name popup; click OK.

6.      Click OK in the Open a Shared Calendar popup window.

7.      Your calendar name will now be displayed in the Other Calendars area in the left panel; your Calendar detail will display in a split screen in the main Outlook panel next to your personal, and/or other calendars.  The next time you click on the Calendar icon in the left panel, you’ll only have to click the checkbox next to your new calendar to display it.

 

 

 

 

Enter Events in Your School Calendar Back to top
  1. Navigate to the day you want to enter an event on your calendar.
  2. Double click the day to bring up an appointment entry window.

 

 

  1. Enter the subject title, location, start/end time, and the description (optional).
  2. Click the save and close button at the top left of the window. The information will appear in your calendar.
  3. Don’t be alarmed if the information you enter into Outlook doesn’t immediately appear in the calendar on the website. The calendar on the website will be updated once each hour.

 

 

Copy Events from Another Calendar to School/Department Calendar

 

If you have already entered events in another calendar (i.e. your personal calendar), you can easily copy them to your school or department calendar.

 

  1. Open Outlook
  2. Click Calendar to bring up your calendar view.
  3. Check the boxes next to the calendars you want to copy from/to.
  4. Navigate to the day and event you want to copy. Click on the event to highlight it. Hold and drag with your mouse to your school/department calendar and place on the appropriate day.
